What Information We Collect<\/strong><\/h3>\n\n\n\n<p>We may collect:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Contact details<\/strong>: name, address, phone, email.<br><\/li>\n\n\n\n<li><strong>Identification: <\/strong>documentation that allows us to satisfy the identification and verification obligations with the Anti-Money Laundering and Counter-Terrorism Financial Legislation.<br><\/li>\n\n\n\n<li><strong>Financial &amp; tax data<\/strong>: tax file numbers (TFNs), income, assets, business\/company details, bank details.<br><\/li>\n\n\n\n<li><strong>Company secretarial info<\/strong>: company registration details, director\/shareholder records.<br><\/li>\n\n\n\n<li><strong>Other relevant info<\/strong>: employee, supplier, or contractor information as needed.<br><\/li>\n<\/ul>\n\n\n\n<p>This aligns with <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-3-app-3-collection-of-solicited-personal-information\">APP 3<\/a>\u2019s requirement to collect only what is necessary.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>3. How We Collect Information<\/strong><\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Directly from you<\/strong> via forms, emails, meetings, and calls.<br><\/li>\n\n\n\n<li><strong>Indirectly<\/strong>, e.g., from your nominated representatives and previous\/current service providers (with your consent).<br><\/li>\n\n\n\n<li><strong>Unsolicited information<\/strong>: If we receive information we did not ask for, we will assess whether it could lawfully be retained; otherwise it will be destroyed or de-identified promptly, in line with <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-4-app-4-dealing-with-unsolicited-personal-information\">APP 4<\/a>.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>4. Why We Collect &amp; Use It<\/strong><\/h3>\n\n\n\n<p>We collect information to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Fulfil our business functions to provide products or services to you.<br><\/li>\n\n\n\n<li>Communicate regulatory changes or service updates.<br><\/li>\n\n\n\n<li>Meet legal and regulatory obligations.<br><\/li>\n\n\n\n<li>Support record-keeping, internal administration, and litigation or defence, if needed.<br><\/li>\n\n\n\n<li>Protect our business and other clients from fraudulent or unlawful activity.<br><\/li>\n\n\n\n<li>Manage any legal actions involving us.<br><\/li>\n\n\n\n<li>Help us improve the products and services offered to our clients and enhance our overall business.<br><\/li>\n<\/ul>\n\n\n\n<p>Use and disclosure align with <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-6-app-6-use-or-disclosure-of-personal-information\">APP 6<\/a>: only for purposes you would reasonably expect or with your consent.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>5. Notification at Time of Collection<\/strong><\/h3>\n\n\n\n<p>When we collect personal information, we will notify you of:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Our identity and how to contact us.<br><\/li>\n\n\n\n<li>The purpose of collection.<br><\/li>\n\n\n\n<li>The recipient(s) or types of recipients.<br><\/li>\n\n\n\n<li>Whether providing it is optional or mandatory.<br><\/li>\n\n\n\n<li>Any consequences of refusal.<br><\/li>\n\n\n\n<li>Whether the information will be disclosed overseas (see section 7).<br><\/li>\n<\/ul>\n\n\n\n<p>This is required by <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-5-app-5-notification-of-the-collection-of-personal-information\">APP 5<\/a>.<br><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>6. Direct Marketing<\/strong><\/h3>\n\n\n\n<p>We will only use your information for marketing purposes (e.g. newsletters, offers) if:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>You have consented, or<br><\/li>\n\n\n\n<li>It is within your reasonable expectations and you are given a chance to opt-out.<br>This ensures compliance with <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-7-app-7-direct-marketing\">APP 7<\/a>.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>7. Cross-Border Disclosure<\/strong><\/h3>\n\n\n\n<p>We may store or process data overseas (e.g., cloud services like Xero, Google, etc.).<br>Where this occurs, we will:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Seek your consent, or<br><\/li>\n\n\n\n<li>Ensure the overseas recipient provides similar protection to the APPs.<br>This aligns with <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-8-app-8-cross-border-disclosure-of-personal-information\">APP 8<\/a> obligations.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>8. Government-Related Identifiers<\/strong><\/h3>\n\n\n\n<p>We will only collect or use identifiers like TFNs where specifically authorised by law. Any use will respect <a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-9-app-9-adoption,-use-or-disclosure-of-government-related-identifiers\">APP 9<\/a> requirements.<\/p>\n\n\n\n<p>TFNs are treated with the highest confidentiality and in accordance with the Privacy (Tax File Number) Rule 2015 (&#8220;TFN Rule&#8221;) and the Australian Privacy Principles (APPs).<\/p>\n\n\n\n<p>We follow guidance from the Tax Practitioners Board (TPB) <a href=\"https:\/\/www.tpb.gov.au\/tpb-practice-note-tpbpn-42021-use-and-disclosure-clients-tfn-and-tfn-information-email\">Practice Note (PN) 4\/2021<\/a>, which addresses the use and disclosure of client TFN and TFN information in email communications. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>9. Data Quality &amp; Security<\/strong><\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>We will take <strong>reasonable steps<\/strong> to ensure information is accurate, complete, up-to-date, and not misleading\u2014<a href=\"https:\/\/www.oaic.gov.au\/privacy\/australian-privacy-principles\/australian-privacy-principles-guidelines\/chapter-10-app-10-quality-of-personal-information\">APP 10<\/a>.<br><\/li>\n\n\n\n<li>We protect information using physical, technical, and organisational measures\u2014passwords, locked storage, secure digital systems.<br><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>10. Access and Correction<\/strong><\/h3>\n\n\n\n<p>You may request access to or correction of your personal information.
